Assessment Roles and Responsibilities

Assessment Responsibilities for All Faculty Members

  • Faculty are responsible for administering the Core Assessment materials in their courses and for using the results of assessment to improve/enhance their content and facilitation of the course.
  • Faculty are also responsible for communicating with their Program Coordinator any needed changes in the Core Learning Outcomes, Core Assessment, or Core Assessment Rubric for a particular course.  Once the changes have been made and approved, the revised assessment materials will be uploaded to the syllabus system so that all instructors of a given course are using the same versions.
  • Program Coordinators are the first line of contact for faculty who have questions or concerns about assessment.
  • Faculty are also responsible for submitting their syllabi online prior to each term/semester:
    • As soon as teaching assignments are finalized for the term/semester, every instructor needs to login to Syllabus, using their OPEN login credentials, to complete the syllabus template.
    • As Core Assessments and Core Assessment Rubrics are completed, the syllabus template will come pre-loaded with the required Core Assessment materials, representing roughly 20% of the course content.  Instructors have freedom and discretion to add their own learning outcomes, activities, and assessments.
    • The completed syllabus will automatically be sent to the appropriate Program Coordinator for approval.
    • If approved, the syllabus will be published online for public viewing. If not, the instructor will make the revisions suggested by the Program Coordinator and re-submit the syllabus for approval.

Assessment Responsibilities for Department Chairs

  • Department Chairs are responsible for communicating/collaborating with Program Coordinator on the creation and maintenance of Core Assessment materials.
  • Department Chairs are also responsible for communicating any questions or concerns about assessment to their Deans.

Assessment Responsibilities for Campus Center Academic Directors

  • Campus Center Academic Directors play a critical role in helping educate their faculty about the assessment plan.
  • Academic Directors can contact their UAC Liaison for information about assessment and are asked to refer faculty to their Program Coordinators for direct assistance.
  • Although Program Coordinators are responsible for approving all syllabi, Campus Center Academic Directors are responsible for working with their faculty to ensure complete understanding of the process and timelines for inputting syllabi:
    • Campus Center Academic Directors can review syllabus submission/approval information by using the Campus Center password that allowed access to the previous system. This updated report will indicate approved/disapproved/not created syllabus status for all faculty and courses at a particular campus center. Some features of this new report are:
      • Pull down options for approval status (DISPLAY) and internal Campus Center specifics (SORT ORDER)
      • Course, Campus Center and Faculty information
      • Entry and Review date
      • Approval Status
      • View Syllabus option
      • Approve/Disapprove options have been deactivated
    • A revised version of this report is being developed that will allow a Sort by Term in the SEMESTER field, messaging features, and a few other items. This should be available on or before March 10, 2006.

Assessment Responsibilities for Program Coordinators

  • Program Coordinators are responsible for submitting all Core Assessment materials to their Dean's office.
  • Program Coordinators should contact the appropriate UAC Liaison when they have questions or concerns about the assessment process.
  • Program Coordinators are also responsible for approving all syllabi in their area, regardless of instructional modality, through the University's syllabus system.
    • Program Coordinators will be notified via e-mail when any faculty in their area (regardless of modality) has submitted a syllabus for approval and are asked to respond within 72-hours (3 calendar days) to all uploaded syllabi.
    • Program Coordinators approve syllabi by logging in to Syllabus. Once logged in, they can search for syllabi according to approval status by selecting a status under the "Status" pull-down menu.
    • As the approved Core Assessment Materials (core learning outcomes, assessment, and rubric) have been pre-loaded, Program Coordinators are asked to pay particular attention to the 80% of the content (instructor-added learning outcomes, assignments, and assessments) to ensure that these components meet the rigor and expectations of the department.
    • Program Coordinators submit their approval decisions through the system and the syllabi are public once approved.
    • If a Program Coordinator disapproves a syllabus, an email will be automatically generated to the instructor. The instructor whose syllabus has been disapproved has 72 hours (3 calendar days) to respond with a revised submission. The Program Coordinator and instructor are responsible for seeing this process through by the end of the first week of the semester/term.
    • Special considerations regarding timing must be considered for both Online and Campus Center Faculty, necessitating expedited approvals for these two groups. For example:
      • Online students gain access to their eCollege classroom 2 weeks prior to the start of the term, making it essential for syllabi to be approved prior to that time.
      • Campus Center MIVER and other accreditation processes require the public display of all syllabi one month prior to the start of the term. Syllabi that are not submitted or that are not approved suggest to outside auditors that Campus Center curriculum is not monitored by appropriate academic staff and can have serious ramifications for continued military education contracts.

Assessment Responsibilities for Deans

  • Deans communicate with Department Chairs, Program Coordinators, and faculty regarding institutional assessment deadlines.
  • Deans gather all UAC documents (e.g. Program/Department Assessment Plans, Program Competencies, CLOs and CARs) and send to the Office of Institutional Research and Assessment.
  • Deans will submit any previously submitted Core Learning Outcomes that a Program Coordinator/Instructor chooses to revise, to the Office for Institutional Research and Assessment so they can be forwarded to the University Assessment Committee for processing.

Assessment Responsibilities for Online Course Developers

  • Online Course Developers need to integrate the Core Learning Outcomes, Core Assessment, and Core Assessment Rubric into the Master (Content Managed) version of their course(s) to ensure that the correct content is deployed to individual instructor sections.
  • ITS is also experimenting with a "master" developer syllabus that can be used to reduce the number of and ease the timeframes around approving individual online instructor syllabi.
